How to request an urgent industrial spare part

A request that can be quoted on the first reply has six things in it. Here they are, with what happens next.

The checklist

#IncludeExample
1Manufacturer and full part numberManufacturer + complete order number with suffix
2Nameplate photoOne clear photo of the whole label
3Quantity1 unit, or 2 (one spare)
4DestinationCountry and whether it is a plant or warehouse
5Needed by, and whether the line is stoppedDate, and 'line stopped since …' if it is
6AlternativesAccepted with engineer approval / original only

Before a quotation can be issued

  • The exact part (or the option you agreed to consider) is identified
  • Dated evidence of the item and its condition has been received
  • The delivery route to your destination is known
  • Your invoicing details are on file

After you send it

You get a reference straight away. A person reads the request and replies by email — first with any question that blocks the search, then with what was found, its evidence, and a quotation with one clear price to your border or your plant, with estimated import duties shown separately. Nothing is ordered until you accept the quotation. You remain the importer of record.

Questions and answers

Can I send a list of several parts?
Yes. Attach the list (PDF, Excel or CSV) with manufacturer, part number and quantity per line.
Which contact method should I give?
Email always works and keeps a record. Add a phone number if a stopped line means you want a call.

Can't find what you need?

Send us the part number, a nameplate photo or a datasheet — or describe the machine — and we'll source it for you. Partial information is fine.
